Before you start

Two things worth knowing:

  • · It all runs in a web browser. Nothing to install for you, your drivers, or your customers.
  • · You text the link to customers yourself, from your own number. Take Fleet doesn't send the SMS for you.

The six steps

    Start your 30-day free pilot

    Go to take-fleet.com/register and create your dispatcher account with your business email. No credit card is required during the 30-day free pilot. The pilot gives you full access to the Starter plan ($99/month after the pilot) with up to 15 active drivers and unlimited customer tracking links.

    Set up your company portal

    After creating your dispatcher account, you'll be prompted to set up your company. Enter your company name (e.g. "Skyline Taxi"), an approximate fleet size, and an optional contact email for billing. Take Fleet generates a short, memorable company code (typically 4 to 8 uppercase letters, like SKYLINE or AAATOW) that drivers and any additional dispatchers will use to join your portal.

    Invite drivers to the portal

    Drivers create their own free accounts at take-fleet.com/driver using your company code. Once they sign up, they appear in your dispatcher dashboard as active drivers. Driver accounts are always free and travel with the driver. If a driver moves to another company, they can use a different code without losing their account. Use the dispatcher portal to assign vehicles, set availability, and view driver locations.

    Generate a tracking link for a customer

    When a customer calls (or your existing booking system creates a job), open the Take Fleet dispatcher portal, pick the assigned driver from your active driver list, and click 'Generate tracking link.' Take Fleet creates a unique short URL for that specific job (e.g. take-fleet.com/track/abc123) that the customer can open in any web browser. The link includes the driver's name, vehicle, location, and ETA.

    Text the link to the customer

    Copy the tracking link from the dispatcher portal and text it to the customer from your phone, or paste it into your existing SMS dispatch tool, your CRM, or whatever messaging system you already use. The link opens directly in the customer's web browser (Safari, Chrome, etc.) with no app install. Take Fleet does not handle the SMS sending itself; you use your existing phone or messaging tools so the SMS sender ID matches your business.

    Driver confirms status, customer sees the update

    As the driver moves toward the customer, the tracking page updates with the latest driver-confirmed location and ETA. When the driver arrives, they confirm in their console. The customer sees an 'Arrived' confirmation, and you have a timestamped record of the arrival for billing and dispute resolution. The whole job is logged in the dispatcher portal for later review.

How long does it take to set up Take Fleet?

Under 2 minutes from sign-up to the first generated tracking link. The longest step is usually inviting drivers, since they need to create their own accounts. A single dispatcher can be operational in about a minute if they're only running one driver.

Do I need to install any software or hardware to use Take Fleet?

No. Take Fleet is entirely web-based. The dispatcher portal runs in any modern web browser on Mac, PC, iPad, or Android tablet. Drivers use a free web console on their phone (no app install required, though an optional iOS driver app exists). Customers receive a tracking link by text and open it in their phone's browser. There is no hardware to buy or install in vehicles.

Does Take Fleet send the SMS to the customer automatically?

Take Fleet generates the tracking link in the dispatcher portal. The dispatcher copies the link and sends it to the customer using their existing SMS tool, typically a phone or business messaging system. This is intentional so the SMS sender ID matches your business and uses your existing customer communication workflow.

What happens when the 30-day free pilot ends?

You'll be prompted to add a payment method to continue on the $99/month Starter plan. If you don't add payment, the portal pauses but your data is preserved for 30 days. There are no per-call fees, no commissions, and no payment processing fees, just the flat $99/month.

Can drivers use Take Fleet on Android phones?

Yes. The driver console runs in any modern web browser, including Chrome on Android, Samsung Internet, and Firefox. Drivers can save the console to their home screen for one-tap access. An optional iOS app is available for drivers who prefer it, but it's not required.
